COMPASS POINT POLICIES

What is included in the cost of the trip?

Unless otherwise specified in the trip description, the cost includes all transportation, meals, supervision, and scheduled activities. The price does not include personal spending money or incidental expenses.

Please note that trip prices and itineraries are subject to change due to airline surcharges or other factors beyond our control.

Payment Policy

  • Day Trips: Full payment is required 10 business days before the trip date. If payment is not received by this time, they will be removed from the activity. 
  • Disney and Universal Vacations: A $600 deposit is required to secure a spot; no reservation will be confirmed without it. The security deposit becomes non refundable 30 days after invoiced. Full payment is due 120 days before departure.
  • A $300 deposit is required for both holiday trips down the shore. The security deposit becomes non refundable 30 days after invoiced and must be paid in full 60 days prior to departure date. 
  • Overnight Trips: All overnight trips (minus Universal or Disney) must be paid in full 60 days prior to the departure date. 
  • Late Payments: Payments more than 30 days past due will incur a 5% late fee monthly.
  • Note: Some activities may have earlier payment deadlines due to ticketing requirements.

Cancellations

Day Trips: To receive credit, cancellations must be made at least 10 business days prior to the scheduled departure date.

Overnight Vacations: Does not include Universal Studios or Disney World. Cancellations made at least 30 days prior to departure will be credited or refunded, minus any non-refundable expenses already incurred.

Disney  Universal Vacations: Cancellations made at least 120 days prior to departure will be credited or refunded, minus any non-refundable expenses already incurred.

Weekend Camp & Camp Compass Point: Cancellations must be made at least 30 days prior to the camp start date.

  • Cancellations made after this deadline will incur a cancellation fee.
  • Cancellations made during the week of camp will be charged the full private pay cost of camp.

Day Camp: Cancellations must be made at least 10 business days prior to the camp date.

  • Cancellations made after this deadline will incur a cancellation fee.

Tardiness

We are unable to wait more than 30 minutes for individuals who are late to their activity or trip. After 30 minutes, the responsibility falls on the provider or family member to ensure the individual reaches their destination. Individuals who are picked up more than 30 minutes late may incur a late fee of up to $50. If you anticipate being late, please contact the Activity Line at 484-965-0081.

Transportation

All activities and overnight trips depart from Compass Point Headquarters at 202 West Uwchlan Avenue, Downingtown (Located within the Mattioni Plumbing Complex). Coach buses are used for transportation to all activities.

Air Travel

Airfare and baggage fees are not included in the trip price. A separate invoice for the airfare and any applicable baggage fees will be sent once tickets are issued. Please note: A Real ID or Passport will be required for all air travel.

Identification

All travelers are required to have a State issued ID. Airline travel requires that all participants have a valid REAL ID  and that the name on the ID is accurate with the name Compass Point has on file. Any costs that arise from an ID that is invalid will be the sole responsibility of the participant. This may include the inability to board a flight. 

Conduct

Compass Point reserves the right to expel any participant who impinges of the ability of others to enjoy the activity. In addition, any participant whose behavior poses a threat to others will be expelled and any costs which result are the responsibility of the participant. These may include staff hours, transportation, and any and all fees that are a result of vandalism or stolen property.

Supervision

Safety is our prime concern. We staff our activities at 1 staff for every 4 travelers. We expect that each person who signs up for a trip can operate within that ratio. If extra help or supervision is needed it is the responsibility of the caretaker to be specific in the needs and abilities of the participant. Any problems that arise from the misrepresentation of a person’s independence or lack thereof will result in additional fees. Extra staff is available for travelers who would benefit from individual service.  

Medication

Medication Requirements

  • All medications must be provided in their original packaging, and the accompanying instructions must be included.
  • If the participant is independent with their medication administration, a Medication Independence Form must be completed and submitted at drop-off. This form can be found under the “Forms” section in the dropdown menu.
  • Participants are responsible for supplying any additional medical equipment, such as breathing machines or blood sugar monitors.
  • Any specielty medication needed such as Thick-it, apple sauce, pill crusher, or yogurt must be supplied by the individual.
  • A Medication Form is required for all overnight trips. This form is also available under the “Forms” section in the dropdown menu.

Medical/Social History Forms

  • This form must be completed in full, and copies of the participant’s medical insurance card, identification, and medication list must be attached.
  • The completed form must be submitted no less than 30 days prior to trip departure. Updates should be provided whenever information changes. This form can be found under the “Forms” section in the dropdown menu.

Lost Items

Compass Point is not responsible for lost items. We request that you leave any unnecessary items at home.

Spending Money

Compass point will help travelers who need assistance with purchases. All receipts for these items will be given to the participant. All spending money should be logged at the time of departure. If a traveler keeps their money on their person, it is their responsiblility to keep track of it. 

Insurance

Compass Point is fully insured. Personal Travel insurance is available upon request.

Transportation Delays

Delays in transportation including but not limited to transfers, bus or airline, may occur. In the event that a delay causes a need for an overnight stay, additional staffing or meals, any associated fees may be assessed to the travel as deemed necessary by the director. Any vouchers credited during the trip become the property of Compass Point. This includes meal, travel or lodging credits.
